To use the export file for Shelby Next, you will need to make sure the necessary information is entered in the SecureGive system. First, ask SecureGive to set your account to the Breeze export format. This export file most closely matches Shelby Next. The main things that Shelby Next requires are Envelope Numbers, Category Names, and a specific date format to be able to import transactions to their database.
To begin, You will need to input the Shelby Next Member ID into the Member ID field for each member profile in SecureGive. You will only have to do this one time for each member, and it will stay connected to them for all future transactions. Do this by clicking the exclamation point in the Member ID column from the “All Transactions” page, and then enter their Member ID and choose the Update Member ID button.
You can also add a Member ID from the donor's profile by clicking the Add Member ID link, entering their Member ID, and then clicking the Update Member ID button. You can also click the Edit pencil at the top right, scroll down to the Breeze Member ID blank, and then input the Member ID there. Be sure to select Save.
Category Name: You will need to make sure that the “Donation Category” or “Purchase Category” name in SecureGive is an exact match to the name of the fund in Shelby Next.
Ex. Your general fund is listed as “Tithes & Offerings” in Shelby Next. In “Donation Categories” in SecureGive, you will need to make sure the name is also listed as “Tithes & Offerings.”
Once the Envelope Numbers and Category names are saved, you will go to Reporting > All Transactions and use Filters to choose the specifics of the transactions you would like to export. You’ll use the Export to Breeze button to save your file to your computer.
You will need to make a few adjustments to the export file to make it work. We have outlined those below.
Re-naming Columns:
“Date” – can leave as is
“Member ID” – change to “Envelope Number”
“Member Name” – can leave as is
“Amount” – can leave as is
“Fund Name” – change to “Category Name”
“Transaction ID” – can leave as is or delete column
“Card Type” – change to “Check Number”
“Comments” – change to “Note”
Date Format: You’ll have to change the date format of the transactions in the export file. You can format them as yyyy-mm-dd or mm/dd/yyyy. There are a few steps to doing this. They are outlined below and we have linked a YouTube video to help.
1. Highlight Cells
2. Click Data tab at the top.
3. Click "Text to Columns"
4. Select "Delimited" and hit Next
5. Select Next Again
6. Select Date and the current format: "YMD"
7. Click Finish
8. Highlight the Cells again then choose "Format Cells". Choose either yyyy-mm-dd or mm/dd/yyyy and click okay.
Envelope Numbers: They do want the actual envelope number from Shelby – not member number or Global File Number.
From here, you’ll need to follow the Shelby Next import instructions**When you Import Giving in Shelby Next, Choose to Match People Based On: Envelope Number and not Name.
SecureGive will not track what dates you have exported so we suggest that you set up a schedule for exporting. We also suggest that you save each file with a name that includes the export dates for easy tracking.
