Giving Statements

You can generate or send Giving Statements for your members by going to Reporting > Giving Statements.

 

How to create a Giving Statement:

To create a giving statement template, click the Screen_Shot_2023-02-21_at_6.00.55_PM.png button at the upper right on the Giving Statement Templates page. Here you'll add the giving statement name, time period, header and footer text, and whether you want it be active. If you choose to email statements out from SecureGive, you can also choose to add a custom message in the body of the email, and you can include an attachment to the email as well.

 

  • The "Statement Name" will show up on the giving statement when printed, as well as the donor's profile and email when they are notified it's ready.
     
  • The "Period Start" and "Period End" dates are the time frame that you want the giving statement to pull transactions from. For Example: for a Q1 Statement, your dates would be 01/01/2025 - 03/31/2025. For a year-end giving statement, your dates would be 01/01/2025 - 12/31/2025.
     
  • The "Active" box tells you whether or not the statement is active for your members. If a template is active, a member can sign in to their profile and view the statement at any time under the "Giving Statements" page. Each template will generate a separate statement in their account. 
     
  • The top of the Giving Statement will automatically be formatted to fit a No. 9 or No. 10 double window envelope. It will include your organization name and address along with your logo if you have one uploaded under Theme Settings.  The donor's name and address will be pulled from their member profile. 

  • The Header and Footer Text allows you to enter customized messages for your members on your giving statement. The Header Text generates a message above the itemized list of donations. This is typically used to include a thank you message from the organization to the member. The Footer Text generates a message in a footer below the itemized list of donations. This is typically used to disclose any legal statements to the member. 
     
  • The "Email Body Custom Message" section allows you to enter a custom message that will display in the body of the giving statement email.
     
  • The "Attachment Upload" allows you to upload a PDF file whose contents will be added to the bottom of the giving statement PDF that is emailed out. 

After customizing your template, click the Create button to save it. If the status of the statement is "Active," your members will be able to view the giving statement from their profile.

You can quickly see how many individual giving statements are generate from the template by looking at the number in the Total Donors column. 

If you are not yet ready for your members to access the statement, you will need to leave the "Active" box unchecked.

 

How to send a Giving Statement:

On the Giving Statements page, you will see 3 buttons on the right of each giving statement detail. The Preview button will allow you to see a preview of the giving statement. The Send Email Statements button allows you to send the statements in PDF form via email. This will go to everyone with an email in their profile. The Download Options button will give you several options for downloading statements. These include Download All, Download only Mailable Statements (those with mailing addresses), or Download only those without email addresses (that couldn't be emailed). The statements will be downloaded as a PDF document. You can use that PDF to print all the giving statements to be put in envelopes and mailed through the postal service.

When clicking the Email button, a confirmation window will show to confirm that you want to send the email. This email will be sent to all donors who have given within the date range chosen for the giving statement. 

When clicking the Download button, this will generate a pre-formatted giving statement for all members that gave within that statement's date range. You can then use the File > Print option in your web browser to print these statements. These statements are pre-formatted to fit a No. 9 & No. 10 double window envelope. You can trifold the statements and then insert them into these envelopes, and you will not need to address the letter.

 

How to view/print an individual member's Giving Statement:

  1. Navigate to the Users > Members page
     
  2. Search and select the name for which you're looking
     
  3. Select the Giving Statements text. This will show all available statements for that member for your organization. If the member did not give within the date range of a statement, the statement will not be available under their profile.
     
  4. Click on the statement to view/print it.
