*ACH transactions batch out each night around 9pm Eastern time. Saturday, Sunday, and Monday batches are combined for processing and depositing.
*Funding/Settlement usually occurs in 4-5 business days.
*Because ACH transactions cannot immediately authorize funds like a card can, they are given an initial approval based upon the information being in the correct format and not being flagged for previous issues. Then that information is sent off to the donor’s bank for processing. At that point, it can be returned for a number of reasons: NSF, Account Closed or Frozen, Payment Stopped, Unable to Locate Account. ACH returns can occur anywhere from a couple of business days up to a couple of weeks.
*You will not receive email notices of settlements/returns. You will need to log in to CardPointe or ProfitStars if you need to confirm any batches/deposits/returns. CardPointe will show the funding batches and any returns, and you can now see the return reason code by clicking on the transaction ID in CardPointe.
Your CardPointe login was set up when you completed your merchant applications. If you use ProfitStars, your ProfitStars account information would have been sent to you when the ACH processing was activated. Finding ACH Returns/Rejects
There are two different ways you can search for ACH transactions that are rejected.
When searching by just the Method: ACH Reject in CardPointe, this will show you the negative entries as a result of a returned ACH donation.
When searching by Brand: E-Check and Status: Rejected, this will show you the original transaction that went through the stages of being processed then a final result of Rejected.
*Both of these ways of searching are showing you the same rejected transactions.
The date range defaults to the last 7 days so you may need to adjust the date as well.
Recording ACH Returns/Rejects in SecureGive
*ACH returns/rejects are not automatically reflected in SecureGive reports. If you have an ACH return, you can mark that transaction appropriately by following the steps below.
- Find and click on the transaction from the All Transactions page
- Select the Edit Pencil from the sidebar that appears at the right
- From the Edit Transaction page, click the gray section at the top where it says, "Click here to record it."
- Select a record date and check the box that says, "Yes, I want to record this transaction as a returned/cancelled ACH." Then click Update.
This will also notify the donor that the transaction has been adjusted.
*You may notice that you have some batch reports under the Reporting tab in SecureGive. As mentioned above, some of these can be combined for deposit. ACH batches that are combined for deposit will have the same settlement date listed for them.
*You will receive an invoice from Jack Henry/ProfitStars each month detailing your processing fees for ACH. Should you need to line that up with exactly what transactions you were charged for, you can do this by logging into ProfitStars and viewing the "Invoice Reconciliation Report".
